Thank you for using Film Winners Vault (the “Site” and our “Services”). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit or use our Services, including when you create an account, purchase a subscription, upload content (e.g., films, trailers, scripts, proof‑of‑concept videos, posters), submit press releases, or interact with public directories and profiles.

If you do not agree with this Privacy Policy, please do not use the Services. Capitalized terms not defined here have the meanings in our Terms of Service.

1) Who We Are

We provide a directory and discovery platform for filmmakers, cast/crew, and film festivals, along with subscriptions that include profile listings, showcases, and promotional/press tools.

2) Scope

This Privacy Policy covers information we process about:

  • Visitors to our Site;

  • Registered users and subscribers (individuals and organizations);

  • People who appear in or contribute to content uploaded to the Services;

  • Business contacts (e.g., festival organizers, sponsors, partners);

  • Press-release submitters and recipients of marketing communications.

This policy does not cover third‑party websites, platforms, or services that we do not control (e.g., payment processors, video hosts, analytics tools). Their privacy practices are governed by their own policies.

3) Information We Collect

A. Information you provide

  • Account & Profile: name, display name, organization, role/title, bio, headshot/logo, location (city/state/country), links (website, IMDb, social), specialties, genres, badges/awards, and other profile fields.

  • Contact Details: email address, phone number (optional), preferred contact method.

  • Content Submissions: films, trailers, stills, posters, screenplays, proof‑of‑concept videos, press releases, event dates, festival wins/selections, and any associated metadata.

  • Transactions: subscription plan, purchase history, and support messages related to billing.

  • Communications: messages to support, collaboration inquiries, survey responses, and newsletter preferences.

B. Information collected automatically

  • Usage Data: pages viewed, links clicked, search queries, referring pages/UTM tags, approximate location (based on IP), device/browser type, operating system, language, session time, and similar technical data.

  • Cookies & Similar Technologies: cookies, local storage, and pixels for authentication, preferences, analytics, performance, and (if enabled) marketing/retargeting. See Cookies below.

C. Information from third parties

  • Payment Processors: We receive limited billing metadata (e.g., transaction ID, last 4 digits, status) from processors such as Stripe and/or PayPal; we do not collect or store full payment card numbers.

  • Video & File Hosts: If you embed or host on third‑party services (e.g., Vimeo, YouTube, Google Drive), those services may collect data per their policies.

  • Public/Business Sources: We may collect or verify business contact information and publicly available details about festivals, productions, or awards from public sources to maintain accurate directories.

4) How We Use Information

We use information to:

  • Provide, operate, secure, and improve the Services;

  • Create and manage accounts, profiles, listings, showcases, and public directories;

  • Process subscriptions and transactions; prevent fraud and abuse;

  • Host and display user‑generated content (UGC) and press releases;

  • Personalize your experience (e.g., saved preferences, suggested categories);

  • Send service notifications (e.g., billing, system alerts) and—if you opt in—newsletters and promotions;

  • Analyze usage to improve features, performance, and content relevance;

  • Enforce our Terms, protect our rights, comply with legal obligations.

Legal bases (GDPR/UK GDPR, where applicable): performance of a contract; legitimate interests (e.g., platform security, product improvement, anti‑fraud); consent (e.g., certain cookies/marketing); and compliance with legal obligations.

5) Public Profiles & User‑Generated Content

  • Profiles, badges, awards, festival wins, credits, and content you choose to make public may be indexed by search engines and discoverable on the Site.

  • Press releases and promotional posts are generally public. Do not include personal data or confidential information you are not authorized to share.

  • You are responsible for securing necessary permissions, releases, and rights for any personal data contained in UGC you upload (e.g., cast/crew info, images, music, scripts).

6) Sharing & Disclosure

We may share information with:

  • Service Providers/Processors: hosting, storage, analytics, payment processing, customer support, email delivery, content moderation, and security providers under contract.

  • Public/Other Users: information you choose to publish (e.g., your public profile, listings, press releases).

  • Business Partners: if you opt in to joint initiatives (e.g., festival spotlights, sponsored showcases).

  • Legal/Compliance: if required by law, subpoena, or to protect rights, safety, and integrity of the Services and users.

  • Business Transfers: in a merger, acquisition, restructuring, or asset sale, data may transfer as permitted by law.

We do not sell personal information for money. We may “share” limited identifiers (e.g., cookies, IP) with advertising/analytics partners for cross‑context behavioral advertising only if you consent via cookie settings (where applicable). See Your Rights and Cookies.

7) Cookies & Similar Technologies

We use:

  • Strictly Necessary Cookies: login/session management, security, load balancing;

  • Preferences: language, saved settings;

  • Analytics/Performance: traffic, usage trends, error diagnostics;

  • Marketing (optional): remarketing pixels or ad measurement only with your consent.

Choices: You can manage cookies via our cookie banner/settings (where available) and your browser settings. Blocking certain cookies may impact functionality.

8) Data Retention

We retain information for as long as needed to provide the Services, comply with legal obligations (e.g., tax, accounting), resolve disputes, and enforce agreements. Public posts (e.g., press releases, listings) may remain visible or cached for a period even after account changes; we will take reasonable steps to remove or anonymize data upon verified deletion requests.

We implement administrative, technical, and physical safeguards appropriate to the nature of the data. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

10) International Data Transfers

If you access the Services from outside the country where our servers/services are located, your data may be transferred internationally. Where required, we rely on appropriate safeguards (e.g., Standard Contractual Clauses) for transfers.

11) Your Rights & Choices

  • Correction: request that we correct inaccurate or incomplete data;

  • Deletion: request deletion of personal data, subject to lawful exceptions;

  • Cookie Choices: manage consent for analytics/marketing cookies;

  • Opt Out of “Sale/Share” (CA): opt out of the “sale” or “sharing” of personal information for cross‑context behavioral advertising;

  • Object/Restrict (EU/UK): object to or request restriction of certain processing based on legitimate interests; withdraw consent where processing is based on consent.

12) California Privacy Notice (CCPA/CPRA)

Notice at Collection

We collect identifiers (e.g., name, email, IP), commercial information (subscriptions, purchase history), internet/electronic activity (usage data), professional information (titles, credits), and UGC. We use this data for the business purposes described above.

We do not sell personal information for monetary value. We may “share” limited identifiers for cross‑context behavioral advertising only with your consent. You can opt out at any time via [Do Not Sell or Share My Personal Information] and cookie preferences.

We retain information as described in Data Retention.

CA Rights

California residents have the rights to know/access, correct, delete, and opt out of sale/sharing, as well as to limit the use of sensitive personal information (note: we generally do not collect sensitive categories). We will not discriminate against you for exercising these rights.

13) Children’s Privacy

The Services are not directed to children under 13 (or the relevant age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us to request deletion.

14) Third‑Party Services & Links

Our Services may include links to, or integrations with, third‑party services (e.g., payment providers, video hosts, social platforms, analytics). Your interactions with these services are governed by their own terms and privacy policies.

15) Do Not Track

Some browsers offer a “Do Not Track” (DNT) setting. There is no uniform standard for responding to DNT signals, so we do not currently respond to them. We will update this Policy if standards emerge and we implement a response.

16) Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date indicates the latest revision. Material changes will be posted on the Site and, where required, we will notify you by email or in‑product notice.
